PRIVACY POLICY

JeBon (Sole Proprietorship) (hereinafter referred to as “the Company”) has established the following Privacy Policy (hereinafter referred to as “this Policy”) regarding the handling of personal information (as defined in Article 2 of the Act on the Protection of Personal Information; the same applies hereinafter) of customers who use our services, business partners, and other related parties. The Company recognizes the importance of protecting personal information as a top priority and will strive to protect it.

Purpose of this Policy

This Policy aims to ensure the lawful and proper handling of personal information held by the Company by establishing basic matters concerning such handling, thereby promoting the appropriate use and protection of personal information.

 

Definitions

The definitions of terms used in this Policy shall be the same as those set forth in Article 2 of the Act on the Protection of Personal Information (Act No. 57 of May 30, 2003).

 

Acquisition and Use of Personal Information

  • The Company will use acquired personal information within the scope and by the methods of the following business activities:

    • Personal information of customers

      • Provision of information related to transactions

      • Provision of information about products and services handled by the Company

      • Performance of contracts concluded with the Company

      • Notices about products and services handled by the Company, as well as provision of information about related services

      • Provision of information and shipment of goods related to campaigns, fairs, events, etc., that the Company organizes, co-hosts, or sponsors

      • Requests for surveys, etc., and development of better products and services

      • Responses to inquiries, requests for materials, and other requests

      • Other purposes for which prior consent has been obtained

  • Unless the individual’s prior consent is obtained, the Company will not handle personal information beyond the scope necessary to achieve the purposes of use specified above.

  • Notwithstanding the preceding two paragraphs, the Company may use personal information beyond the scope necessary to achieve the specified purposes of use in the following cases:

    • When required by law

    • When it is necessary to protect a person’s life, body, or property, and it is difficult to obtain the individual’s consent

    • When it is particularly necessary for improving public health or promoting the sound development of children, and it is difficult to obtain the individual’s consent

    • When it is necessary to cooperate with a national or local government agency or a person entrusted by them in performing affairs prescribed by laws and regulations, and obtaining the individual’s consent may interfere with the performance of those affairs

    • When the Company changes the purpose of use of personal information, such change will be made only within a scope reasonably considered to be relevant to the original purpose. Furthermore, unless otherwise provided by law, if the purpose of use is changed, the Company will publicly announce the changed purpose in this Policy.

 

Proper Acquisition and Minimization Principle

  • The Company will acquire personal information lawfully and properly and will not acquire it by deception or other improper means.

  • Except in the following cases, the Company will not acquire sensitive personal information (information requiring special consideration) without the individual’s prior consent:

    • When required by law

    • When it is necessary to protect a person’s life, body, or property, and it is difficult to obtain the individual’s consent

    • When it is particularly necessary for improving public health or promoting the sound development of children, and it is difficult to obtain the individual’s consent

    • When it is necessary to cooperate with a national or local government agency or a person entrusted by them in performing affairs prescribed by laws and regulations, and obtaining the individual’s consent may interfere with the performance of those affairs

    • When the sensitive personal information has been made public by:

      • The individual themselves

      • National government agencies

      • Local public entities

      • Broadcasting organizations, newspapers, news agencies, or other press organizations (including individuals engaged in reporting as a profession)

      • Persons engaged in writing or publishing as a profession

      • Universities or other institutions/organizations aimed at academic research, or persons belonging to them

      • Religious organizations

      • Political organizations

      • Foreign governments, foreign government agencies, foreign local public entities, or international organizations

      • Foreign entities equivalent to the above press organizations, writers, academic research institutions, religious organizations, or political organizations

    • When sensitive personal information that is clearly visible from the individual’s external appearance is acquired by visually observing or photographing the individual

    • When receiving sensitive personal information as part of outsourcing, business succession, or joint use

 

Ensuring Accuracy of Personal Data

  • The Company will endeavor to keep personal data accurate and up-to-date within the scope necessary to achieve the purpose of use and will promptly delete personal data when it is no longer needed.

 

Security Control Measures

  • The Company will implement preventive measures against unauthorized access, loss, falsification, leakage, etc., of the personal data it handles and will take necessary and appropriate security control measures. The Company will also establish and implement internal rules necessary for such security control measures.

 

Supervision of Employees

  • When having employees (meaning all persons engaged in the Company’s business, including officers, full-time employees, contract employees, dispatched workers, etc., regardless of the existence of an employment contract; the same applies hereinafter in this Policy) handle personal data, the Company will provide necessary and appropriate supervision of such employees to ensure the secure management of the personal data. In addition, the Company will regularly conduct education and training for all employees to thoroughly instill the importance of personal information protection.

 

Selection and Supervision of Contractors

  • In the course of its business activities, the Company may outsource various procedures, surveys, promotional activities, etc., to external businesses. When outsourcing all or part of the handling of personal data, the Company will establish selection criteria for contractors deemed capable of properly and reliably handling personal data, select contractors in accordance with those criteria, and conclude appropriate outsourcing contracts.

  • When outsourcing all or part of the handling of personal data, the Company will provide necessary and appropriate supervision of the contractor to ensure the secure management of the entrusted personal data.

 

Provision to Third Parties

  • As a general rule, the Company will not provide personal data to third parties without the individual’s consent. However, personal data may be provided to third parties in the following cases:

    • When required by law

    • When it is necessary to protect a person’s life, body, or property, and it is difficult to obtain the individual’s consent

    • When it is particularly necessary for improving public health or promoting the sound development of children, and it is difficult to obtain the individual’s consent

    • When it is necessary to cooperate with a national or local government agency or a person entrusted by them in performing affairs prescribed by laws and regulations, and obtaining the individual’s consent may interfere with the performance of those affairs

 

Personal Information Protection Manager

  • The Company designates its Representative Director as the Personal Information Protection Manager and will establish and manage a system to realize personal information protection.

  • The Company will establish a contact point to sincerely respond to inquiries, complaints, requests for disclosure, etc., regarding the handling of personal information.

Disciplinary Action

  • Employees who violate this Policy will be subject to disciplinary action in accordance with the Company’s work rules. For other workers, action will be determined in accordance with their contract or applicable laws.

 

Revision and Abolishment

  • Revision or abolishment of this Policy shall be decided by the Representative Director.

  • This Policy may be revised or abolished without prior notice in the event of changes to the Act on the Protection of Personal Information or related laws, cabinet orders, etc.
